How to Send a Paypal Invoice
An important thing to learn to do when selling your handmade crafts online is to know how to request money from a customer by sending them a Paypal invoice. Paypal is one of the easiest ways to take payments for your handmade items. Here are some cases where knowing how to send a paypal invoice will come in handy:
It is a great way to be paid for custom orders. You will want to request a 50% deposit before starting a custom order and you can request the payment by sending your customer an invoice through Paypal. When you are finished making the item you can send them an invoice for the balance before shipping the item.
You will often receive requests for variations of a design you offer either in your online store or on your website. A customer may want a different size, a custom inscription, or a different color. Instead of setting up a new page or listing for the item, just send your customer an invoice along with a description of the changes.
Sending a Paypal Invoice Step by Step
Step 1 – Log in to your Paypal account at https://www.paypal.com/ Enter your email address and password in the box on the right.
Step 2 – Click “request money” at the top of the screen
Step 3 – Enter in your customer’s email address, the amount requested, and click the “goods” circle. Click “continue” at the bottom.
Note – Notice the “create invoice” at the top of the page. This gives you the option of adding a lot more details such as showing your mailing address, the invoice number, payment terms, due date, your logo, item name or number, and unit price. In most cases “request money” is all you need and is what I use 99% of the time, especially for deposits and custom orders where the details for the item have already been worked out with the customer.
Step 4 – This page confirms your customer’s email address and the amount you are requesting. Your customer does not need to be a Paypal registered user to pay your invoice. In the message area add a short description of the item. Here is an example of what you can write:
Design 14B in custom 16” size done with a red finish. Deposit request from Jane Doe. Thanks
Click “request money” at the bottom.
That is all you need to do. Here is the screen you will see:
When your customer pays you, you will receive an email notification.
Here is how your invoice looks to your customer:
Your customer just clicks the “Pay Now” button at the bottom to send you the payment. When you are finished making your item, just repeat the process and send your customer an invoice for the balance before shipping out your item.
TIP - If your customer cannot see the “Pay Now” button ask them to click the “display images” at the top of their inbox. This is what it looks like in Gmail. For more information about the “Pay Now” button please see my article: Paypal Invoices Not Showing Pay Now Button
